Define the current operating constraint

Document downtime, throughput, scrap, maintenance or capacity limits with dated internal records. A broad claim that new equipment will improve productivity is difficult to assess. Show which process changes and which part of the expected benefit depends on staffing, software or customer demand.

Separate replacement from expansion

Replacing an unreliable machine protects existing operations; adding another line may depend on future orders. These are different business cases even if the equipment price is similar. Present the assumptions clearly and include a scenario in which the expected production ramp takes longer.

Make benefits measurable after installation

Define an acceptance test and a practical measurement period. Keep equipment performance, operating savings and financing costs as separate lines. The agreement may allocate responsibilities differently from the supplier’s performance warranty, so reconcile both documents before relying on projected savings.
